For real estate brokerages

Your brand on every agent's email. Their personality too.

Email signature software for real estate brokerages: you set the logo, colors, layout, license line and Equal Housing notice once, every agent's Gmail signature stays on brand, and each agent adds their own listings, photo and personal touches within the limits you choose.

What this does for a brokerage, in short

Email Signature Magic builds each agent's email signature from two things: a template the brokerage controls and the agent's own details. The brokerage locks the brand, the layout, the agent's license number, designations and the compliance notices. The agent can update their photo, contact details and personal touches, but only the parts the brokerage allows. Changes reach each agent's Gmail automatically, so a signature never goes out off-brand, out of date, or missing a license number.

  • Brand, layout and compliance notices set once
  • License and designations locked to what's on file
  • Agents personalize only what you allow
  • Brokerage, office, team and agent structure
  • Gmail connected in one click, with live status
  • A log of every update, and one-click offboarding

What the brokerage controls, and what agents can do

Control and personalization aren't a trade-off. You decide the line once, and it holds for every agent.

Brand

Set your brand once. It's on every signature.

Your logo, colors and font are entered in one place and every agent's signature uses them. Pick the look from 25 professionally designed layouts, all of which carry your brand, your agents' details and your required notices.

  • Choose a palette, enter your colors, or pull them from your website.
  • Upload your logo once. It's resized so the signature stays light and quick to load.
  • Add your local boards and associations with their logos, and agents show the ones they belong to.
  • Change the template and every connected agent's signature updates, with nothing to send around.

Control

You choose what agents can change

One screen decides how much room agents get. Switch each extra on or off for the brokerage; the things that make a signature compliant are locked for everyone.

  • Contact details, personal touches, holidays, causes and more are switches, not a policy document.
  • Colors, fonts and promotions speak for the brokerage, so they start off.
  • Name, license number, membership ID, designations, office and team, and the compliance notices are always yours.
  • Because the limits are set in advance, there's nothing for you to approve after the fact.

Agents make it theirs, in a few minutes

Each agent gets a page of their own with a live preview. They update what you've allowed, see the result as they go, and save to put it in their inbox.

  • Photo, title, phone and social links stay current without anyone filing a request.
  • Tags like Coffee lover or Dog person, a favorite quote, causes they support and holiday greetings add the human side.
  • Their own listings, open houses and recent sales, picked by the agent and refreshed every night.
  • A spam check and a size check before it goes out, so a personal touch never breaks deliverability.

Offices and teams

Built around how your brokerage is organized

Brokerage, office, team, agent. The brand cascades down that structure, so each office can carry its own address and phone without anyone redoing the design.

  • Every agent belongs to an office and, if you use them, a team.
  • Offices carry their own address and phone; the plans that include per-office and per-team templates let a team look different too.
  • Give an office manager or team lead access to just their own people.
  • Add agents one at a time, by CSV, or from your Google Workspace.

Rollout

Roll it out without chasing every agent

Your member list shows each agent's current signature, office, team, invite status and Gmail connection at a glance, so you know who's live and who still needs a nudge.

  • Send each agent an invite link or an email invite; they connect Gmail in one click.
  • See Connected, Not connected or needs-attention status, with the time of the last update.
  • Update an agent's Gmail now, or review and update everyone's signatures at once.
  • Offboard a departing agent in one click, and keep a record of every update for compliance.

How to put a whole brokerage on one signature

  1. Set the brand once

Add your logo and colors (or pull them from your website), pick a layout, and enter your disclaimer and Equal Housing notice.

  2. Add your agents

Add them one at a time, import a CSV, or pick them from your Google Workspace. Put each in the right office and team.

  3. Choose what agents can change

Tick the extras you're happy for them to use. Name, license and compliance notices always stay yours.

  4. Send each agent their link

They open it, connect Gmail in one click, personalize what you allow, and their signature is live. You watch connection status from your dashboard.

Compliance your brokerage can point to

License numbers, MLS IDs and designations are fields on each agent's record, not text typed into a signature, so a new hire can't forget one and nobody can quietly drop it. Equal Housing Opportunity, your disclaimer and an optional wire-fraud warning go on every signature, and every update is logged with who changed what and when. What a signature must include varies by state, so read what 18 states' rules say and confirm the specifics with your broker or regulator.

Questions brokerages ask about agent email signatures

How do I manage email signatures for all the agents in my brokerage?

Set your brand, layout and required notices once at the brokerage level. Each agent then opens an invite link, connects their Gmail in one click, and their signature is built from your template plus their own details. When you change the template, every connected agent's signature updates automatically, with no copy and paste and no IT ticket.

Can I stop agents from changing their license number or removing Equal Housing?

Yes. The agent's name, license number, MLS or membership ID, designations, office and team, and the compliance notices (Equal Housing Opportunity, your disclaimer and the wire-fraud warning) are always set by the brokerage. Agents can't edit or remove them. Everything else is a switch you control.

How much can agents personalize their signature?

As much or as little as you decide. By default agents can update their title, phone, photo and social links, and add personal touches such as tags (Coffee lover, Dog person), a favorite quote, causes they support, holiday greetings and a handwritten-style signature. Colors, fonts and promotions stay with the brokerage unless you allow them.

Do agents need to be on our Google Workspace to use it?

No. An agent can connect a personal Gmail address or a Google Workspace address, each in one click. If your brokerage does use Google Workspace, you can also pick people from your domain to add and invite them in one go. For Outlook, a small add-in your IT installs once puts the signature in.

Can different offices or teams have different signatures?

Yes. The brand cascades the way you're organized: brokerage, then office, then team, then agent. An office can have its own address and phone, and the plans that include per-office and per-team templates let an office or team look different from the rest. See the pricing page for which plan includes what.

What happens when an agent leaves the brokerage?

You turn them off with one click. Their signature stops being managed and their record is kept, so you can reactivate them if they come back. Every update is logged, so you can still show what their signature said on a given date.

Can agents show their own MLS listings and open houses?

Yes, when your MLS is connected. Each agent's own listings, upcoming open houses and recent sales can appear in their signature, refreshed every night, and the agent picks which to feature. MLS access is approved by each MLS, so ask us whether yours is connected yet.

How much does it cost for a brokerage?

Organizations start at $0.69 per member per month, with per-office and per-team templates on the next plan up and custom pricing for large or franchised brokerages. Pricing is per agent, so you only pay for the agents you manage. See the pricing page for the current plans.
