Handtekening: What It Means, and How to Add a Handwritten One to Your Email Signature

Handtekening (pronounced roughly “HAHNT-tay-kuh-ning”) is the Dutch word for a signature: your name, written by hand, to show a document or message is yours. It is also the word Dutch and Flemish speakers use when they search for an email signature, which they call an e-mail handtekening. This guide explains both meanings, what a handwritten signature does and does not do in an email, and how to add one to yours.

What does handtekening mean?

Handtekening is a compound of hand (hand) and tekening (drawing; in Dutch, tekenen also means “to sign”). Dutch dictionaries define it as a name written by hand, usually a personal flourish, placed under a letter or document to show the content is correct or that you agree with it. Related words include ondertekening (the act of signing), krabbel (scrawl) and autogram (autograph).

Dutch legal sources describe two jobs for a handtekening: it identifies the person, and it shows that person's will, meaning they know what the text says and agree to it. That is why it carries the most weight on documents that are not handwritten, such as contracts and transfers.

Handtekening, paraaf and e-mail handtekening

  • Handtekening: your full, personal signature, used to approve a document and bind yourself to it.
  • Paraaf: a shortened signature, usually initials, that shows you have seen a page. On a ten-page contract you would typically initial each page and sign the last one.
  • E-mail handtekening: the block of text and images at the bottom of an email: name, title, phone, company logo. In English that is an email signature. It is branding and contact details, and it does not sign anything on its own.

A handwritten-style image inside an email signature sits where those meanings overlap. It looks like a handtekening, and it lives in an e-mail handtekening.

Why put a handwritten signature in an email signature

A script signature adds a human touch to an otherwise typed block, and it reads the way a letter does: the sign-off, then a name written out. It is a style choice, not a requirement, and it works best when the typed details (name, title, phone) still appear underneath it, so the information does not depend on an image loading.

The wider picture favors paying attention to your signature. In an Exclaimer market research report, branded email signatures were the top factor shaping how recipients perceive an email (57 percent), ahead of writing quality (47 percent), proper formatting (38 percent) and personalization (38 percent). The same research found that 76 percent of respondents said a branded email signature increases their trust in the sender.

Those figures are about branded signatures in general, not handwritten ones specifically. We are not aware of solid data on the effect of a handwritten-style image alone, so treat it as a polish, not a guaranteed lift.

How Email Signature Magic makes a handwritten signature

In your signature settings, open Options, then Handwritten signature. Our tool turns your name into a signature image in three steps:

  • Choose what to sign: your full name, just your first name, or your first initial and last name.
  • Pick an ink color (black, navy, blue or dark green) and one of six handwriting styles: Classic, Flowing, Quick pen, Fine pen, Brush or Light script. Each one is generated from your name, so you see yours, not a sample.
  • Or skip the styles and draw your own signature with a mouse, finger or stylus on the signature pad.

The result appears in the live preview straight away, right under your sign-off (“Warm regards,”) and above your details. Press Save and it goes into your signature, in Gmail and in Outlook.

What makes it email-safe

Email apps cannot load custom fonts, so a script font would show up as plain text on the recipient's screen. Instead, the signature is drawn as a picture. We follow the same rules we recommend in our other guides:

  • A small transparent PNG, stored at no more than 440 by 80 pixels and shown at half that size, so it stays sharp on high-resolution screens. PNG works in every mail app; SVG does not.
  • Typically only a few kilobytes, so it adds almost nothing to the weight of every message you send.
  • Real alt text, “Signature of” followed by your name, so the signature still makes sense where images are blocked. Outlook blocks automatic picture downloads by default.
  • Your typed name, title and phone stay as text under the image, so nothing important lives only inside a picture.

Is a handwritten signature in an email legally binding?

A signature image in your email footer is a design element, not a signing process. In the United States, the ESIGN Act and UETA treat an electronic signature as an electronic sound, symbol or process used with the intent to sign a record, and the law does not require cursive or any particular look. The deciding factor is intent and a link to the record being signed. A decorative image added automatically to every email does not by itself show that intent.

For contracts, disclosures and anything that must hold up later, use a proper e-signature or document-signing tool, and check the rules for your document type and country. This is general information, not legal advice. Some documents, such as wills and certain real estate transfers, need more than a typed or imaged signature.

Frequently asked questions

What does handtekening mean?

Handtekening is Dutch for signature: a name written by hand to show that a document or message is yours, or that you agree with it. In Dutch it is also the usual word for an email signature, called an e-mail handtekening.

What is the difference between a handtekening and a paraaf?

A handtekening is your full, personal signature. A paraaf is a shortened form, usually initials, used to show you have seen a page. You initial each page of a long contract and sign the last page.

What is an e-mail handtekening?

It is the Dutch term for an email signature: the block of contact details, logo and links at the bottom of an email. It is not a legal signature by itself.

How do I add a handwritten signature to my email signature?

In Email Signature Magic, open Options, then Handwritten signature. Choose what to sign and an ink color, then pick one of six styles generated from your name, or draw your own. It appears under your sign-off in the preview and goes into your Gmail or Outlook signature when you save.

Will a handwritten signature show in Gmail and Outlook?

Yes, because it is a small PNG image, a format every mail app handles. Outlook blocks automatic picture downloads by default, so some recipients may need to click to show images. That is why your typed name and phone number stay as text under the image, and why the image carries alt text.

Is a handwritten signature image in an email legally binding?

On its own, no. A signature image in an email footer is decoration, not a signing process. Electronic signatures under the US ESIGN Act and UETA depend on the intent to sign a specific record. Use a proper e-signature tool for contracts and disclosures.
